2 General information on data processing

Personal data is only processed if this is necessary to provide a functional website and our content and services.

The processing of personal data takes place at Regal on the basis of the voluntary consent of the data subject (GDPR § 6 a). An exception applies in cases where prior consent cannot be obtained for factual reasons and/or the processing of the data is based on legal regulations (GDPR § 6 c). Under conditions of the Covid-19 pandemic, the use of the web conferencing service may also be based on a public interest in combination with the protection of vital interests of the data subjects (GDPR § 6 d and e), usually in combination with consent in accordance with § 6 a or within the scope of the teachers' right to service in accordance with § 6 c. Which of the aforementioned bases for data processing applies in each case is always determined by the context and the reason for using the web conferencing service.

The data will be deleted as soon as the purpose of storage ceases to apply or within the specified periods.

3. provision of the website and creation of log files

The processing of some data (time of access, browser type, operating system) is absolutely necessary in order to be able to operate the website at all. The data is deleted immediately as soon as it is no longer required. Log files are stored for 14 days.

4. use of cookies

Cookies are used to simplify or enable the use of the website for users. Cookies are stored on the user's computer and transmitted from there to our website. You can deactivate or restrict the transmission of cookies by changing the settings in your Internet browser. If cookies are deactivated for our website, it may no longer be possible to use all functions of the website to their full extent.

5. profile data

The name and e-mail address and, if applicable, the date and time of registration are stored. Further voluntary information about your own profile is possible.

External users who use the conference platform of the Wiesbaden Media Center in the context of cooperation projects take note of this privacy policy.

6 Video and audio transmission and recording

Audio, video and text data of the participants can be transmitted and, in the case of a recording, saved. The recording process is indicated in the interface of the web conferencing tool. The lecturer or the person planning the web conference must inform the participants in advance in the event of a recording and obtain their consent.

The Wiesbaden Media Center expressly does not use these recordings to create biometric profiles or for biometric identification. Metadata (IP address and browser identification) generated during the use of the web conference will only be stored to ensure technical operation, troubleshooting and error analysis and will be automatically deleted after 14 days.

7 User authentication

This BigBlueButton instance uses the Identity & Access Management (IAM) service "Antares CS" or "Edupool", which is operated by ANTARES PROJECT GmbH, Knooper Weg 107, 24116 Kiel, Germany, for user authentication (login).

A valid Edupool account is required for user authentication. When a user logs in, a request for access data is sent to the Antares Project GmbH servers. If the login is successful, a shadow copy is saved on the server of the BigBlueButton instance. If an Edupool account is blocked, authentication is not possible.

Antares Project GmbH is not able to analyze the usage behavior of this BigBlueButton instance and is not an integral part of the primary function of the BigBlueButton instance.

8. transfer of personal data to third parties - YouTube

The system allows external videos (e.g. from YouTube) to be embedded or streamed. When calling up such videos, the browser may automatically establish a connection to various servers of the respective provider (e.g. Google), which then set so-called third-party cookies (cookies from third-party providers). The Wiesbaden Media Center itself does not process this data. You can find out for what purpose and to what extent the providers (e.g. Google) process the data in the data protection declaration of the respective company. Third-party cookies can be blocked by setting certain browser settings. Alternatively, browser plug-ins allow you to make these settings specifically for individual websites - e.g. Privacy Badger or Ghostery.

9 Rights of the data subject

If your personal data is processed, you are a data subject within the meaning of the GDPR and you have certain rights vis-à-vis the controller: Right of access, right to rectification, right to restriction of processing, right to erasure, right to be informed, right to data portability, right to object, right to withdraw consent under data protection law, automated decision-making in individual cases including profiling, right to lodge a complaint with a supervisory authority.

Some of the above rights do not apply or only apply to a limited extent if the data processing is not based on your voluntary consent, but on one of the other above-mentioned bases. These include the right to erasure, withdrawal of consent and restriction of processing. However, rights of information and complaint apply in any case.
